NOT ACCEPTING NEW APPLICANTS AT THIS TIME. THANK YOU :)

EXECUTIVE ASSISTANT

The Role

I’m looking for an Executive Assistant who can help make life run smoother—so I can focus on what I do best: serving our clients, creating content, and fielding new opportunities.

You’ll manage my calendar, filter my inbox, book travel, and help me keep my personal life and work life moving without friction. Some days that might mean scheduling client calls and rescheduling a podcast. Other days, it’s making sure my dog trainer, CPA, and travel plans don’t all overlap in the same 24 hours.

This role is part calendar control, part communication triage, part logistics and follow-up. It’s for someone who’s proactive, organized, and comfortable owning outcomes without needing their hand held. You’re someone who thrives on making things easier and more efficient for the people you support.

If you’re good at solving problems before they happen, writing clean messages, and remembering what I said I’d forget—this might be a great fit.

What You'll Be Responsible For

1. Calendar & Scheduling

  • Manage and continually adjust my calendar so it reflects what matters most

  • Schedule and reschedule meetings as needed—internal and external

  • Coordinate interviews, podcast recordings, client calls, and personal appointments

  • Make sure I have prep info when it matters, not when it’s too late

2. Communication Management

  • Triage and manage email—flag what needs my attention, handle or archive the rest

  • Monitor LinkedIn DMs and filter out low-priority messages

  • Draft, proofread, and send messages on my behalf when needed

  • Follow up with people I owe responses to and keep threads alive

3. Travel & Logistics

  • Book and manage travel for work and personal trips

  • Coordinate hotels, flights, car rentals, and ensure things are smooth from takeoff to return

  • Track confirmations, preferences, and backup plans when needed

4. Personal Admin

  • Help with scheduling household logistics—things like deliveries, service appointments, personal scheduling

  • Be a second brain when life gets busy—keep tabs on small but important stuff

  • Coordinate with my partner or team on shared needs or logistics

5. Operational Support

  • Track and follow up on tasks inside project management tool

  • Support event planning, podcast scheduling, and launch logistics

  • Occasionally join calls or shoot days if something needs your oversight

What Success Looks Like

  • My calendar reflects what’s important—not just what’s urgent

  • I don’t have to scroll through hundreds of emails to find what matters

  • Travel, meetings, and logistics feel handled before I even think about them

  • I have more mental space to work on client strategy, content, and big-picture growth

About You

  • You’re proactive, organized, and love making systems run smoother

  • You spot problems early and solve them without waiting to be asked

  • You communicate clearly, respectfully, and fast (Slack, text, email)

  • You keep things confidential, always

  • You’re not here to be told what to do every hour—you’re here to help me move faster
